Factory (Operations) Accounts Analyst — MS Excel

• In this role, I was reporting our factory’s Daily Labour Efficiency and Weekly Material Variances, directly to the Lead Management Accountant - also (among others) to the Head of Finance and the General Manager. (i) Daily Labour Efficiency: - I was auditing our Finished Goods production data, as scanned by Operations. (by reconciling orders, wastage, shortages - and computer stock VS. the planned closing stock) - I was then announcing the correct Volumes of the previous day’s Finished Goods Production. - I was also performing the analysis of the difference between standard VS. actual hours, as related to the categories of goods. (ii) Mid-week and Final Material Variances reports: - I was accounting for all the variances (Raw Materials, Lab samples, Packaging, Consumables, etc.) in our production process. - I was forecasting the Weekly Variances and writing the commentary on the main drivers of our Rejections (Raw Mats., Work-in-Progress, FG) and Unexplained. My close collaboration with the Planners & Procurement, Goods-in and the Operations Dpt, was key for the investigation of variances not in line with the trend. •• By accurately setting up the recipes/costs of our main site’s products in the Bill of Materials (BOM), I ensured the minimization of system-related variances. ••• I had been trusted with the update & improvement of various MS Excel trackers - which practically made an impact in the Senior team’s decision-making. ► Top achievements: 1) Praised by the Head of Finance as a “Mammoth undertaking”, our team managed to setup materials/costs for 121 product recipes in 16 weeks; 279% as efficient, if compared to the previous record held of 141/year. This was a project for TESCO. 2) By compiling all my notes, I created several handbooks (screenshot-illustrated), documenting the SOPs (Standard Operating Procedures) of my role, in detail. The above manuals met great success, as they significantly supported my new colleagues during training.

In this role, I directed and managed priorities for 180+ supplier and expense accounts. I led negotiations with credit controllers while forging and maintaining effective relationships and rapport. Facilitated Statement reconciliation, and completed invoice coding, posting, and matching in JBA System 21 ledger. I also performed estimation of quantity/price discrepancies, and optimized approval time with internal departments (Buying, Engineering, Goods-in, IT and Technical). Finally, I initiated and completed our Expenses’ nominal (general) ledger mapping, by supplier, buyer to approve, and cost centre, drastically improving our documentation management in the Accounts Payable Department. ► My top achievement in this position included: Being recruited to collaborate with the IT department on the Paperless Invoicing Project; beta-tested project and led training of 7-member Purchase Ledger team.

I kickstarted my career in the United Kingdom by handing my CV door-to-door. My thought was: “if you wish to be employed ASAP in Retail Sales, you should be able to meet in person and sell your CV”. Since I had no UK working experience, the face-to-face approach proved to be more efficient than company sites, LinkedIn, word-of-mouth, and agencies. In less than a month (and after having worked a trial-week in an off-licence minimarket), I got hired as a part-time retail salesman in GAP, at the Whiteleys shopping mall. Although part-time could not be a long-term option, it allowed me to survive in the expensive yet magic city of London. As a Sales Associate, I delivered optimal customer service with a smile. I developed and maintained excellent relationships and rapport with my customers; offering them help in a constructive, friendly, and most discreet manner. In this way, I earned their trust. I also maintained a comprehensive knowledge of the products we provided.

In this position, I handled communication with our transport service suppliers (DHL, SpeedEx, etc.), and organized our machinery imports data using MS Excel spreadsheets. I provided top customer service through the call centre, for our retail customers (plastic surgeons, SPAs & beauticians). I initiated market research and compared solutions; regarding after-import distribution, advertising material, and office equipment. Invoiced, packaged, and managed delivery routes for medical products, while ensuring optimal stock levels. I also built rapport with our customers, by delivering large orders in person. Finally, I arranged cost-efficient business travels and tracked employee expenses. ► My top contributions in this role included: Achieving an estimated 33% acceleration in the order reception process (with MS Excel), which was more than a 1-minute reduction per order, and led to a significant minimization of errors.
